The Management Assistant will handle all administrative issues for the legal entity and effectively coordinate with both external as well as internal parties. Contribute to the creation of an optimal environment and assist two General Managers in order to facilitate their focused contribution .
• Manage the agendas, including organization of meetings and other events, travel arrangements, reception of visitors … • Ensure the proper functioning of the office, including office material, facility management, mail delivery • Be central entry point and support the team in coordinating any relevant matter (e.g. Legal, HR, Purchasing, Facility Management, IT support) with internal and external Business Partners • Manage efficiently documentation and filing including management of the internal legal database, internal documents, communication, internal control assessment, … • Support on any HR related subjects (hiring and on-boarding of new staff, training etc.) • Manage Intranet Web Site (Design, News, KPI’s publications, org. chart, …) • Assist internal/external meetings, communication and reporting and especially Power Point presentations, meeting minutes, mails, reporting … • Support the GM’s for follow-up of the department budget • Manage Purchase Requisitions, PO’s, invoices (checking, pre-approving, follow-up if needed, entering into relevant system etc.)
