Management Assistant (m/f) in Mont-Saint-Guibert

Together with our customer in Mont-Saint-Guibert, we are looking for a Management Assistant.  You will have the opportunity to enlarge and strengthen the Executive Support team.  

Your role and responsibilities:
• Answering and directing phone calls
• Organizing and scheduling appointments for the Senior Leadership Team
• Handling calendar and mail: sending out/ accepting meeting requests, following up on mails upon request
• Working with in-house travel agency to organize transport and travel for VP’s
• Organizing meetings - preparing conference rooms including the room reservation, setup of all A/V equipment, ordering of food/refreshments items
• Processing check requests and invoices and forwards to internal A/P on a timely basis
• Prepares expense reports, ensuring accurate current exchange rates, proper documentation and reimbursement are filed within the outlined schedule
• Taking appropriate actions to provide efficient follow-up
• Acting as the point of contact for internal and external contacts
• You will be back-up for the reception once a week during lunch time and closing (till 6 PM)


• Bachelor in administration and/or secretarial studies,
• Proven experience as an administrative assistant (8 to 10 years)
• Positive attitude
• Excellent time management skills and the ability to prioritize work
• Attention to detail and problem solving skills
• Excellent written and verbal communication skills
• Strong organizational skills with the ability to multi-task
• Fluent 2-lingual : ENG/FR and good knowledge NL
• Proficiency with MS Office tools
