Personal Assistant for and International Corporation in Brussels



Our client is currently looking for a Personal Assistant to provide administrative and secretarial support to their Flow Control President and the Flow Control EC (11 team members).

Your main tasks will be as follow:

  • You will take care for the Agenda & Meeting Management;
  • You will manage the diary, arranging the meetings and the conference calls;
  • You will liaise with the Flow Control President´s contacts;
  • You will organise and and follow up on the FC meetings (booking meeting rooms, hotels, restaurants, lunches, taxis, etc);
  • You will be responsible for the practical organisation of the corporate trainings;
  • You will Keep travel books updated;
  • You will arrange Board meetings, dinners and Board visits;
  • You will organise international travel, including visas (where appropriate);
  • You organise invoices and scan them for submitting monthly expenses for the Flow Control President and his EC members;
  • You will be responsible for sifting, prioritising, redirecting, actioning and drafting correspondence as appropriate;
  • You will respond to queries on Flow Controls President´s behalf;
  • You will Follow up on: documents to be signed, calls, typing documents, welcoming visitors, mails, invoices, etc;
  • You will be responsible for the update of the Global Agreement database (GAD);
  • You will be responsible for the update and the follow up of the publications in the “Moniteur belge”;
  • You will print and bind various documents (pamphlets, PPT, etc);
  • You will check and validate the monthly Egencia invoice;
  • You will check and validate the monthly Mastercard invoice and keep a  proof of each transaction on file.


Our client is looking for a Personal Assistant with the following skills and qualifications:

  • You have a Bachelor in Administration or Formal secretarial qualification;
  • You have 5 years Proven experience of working as an Executive/Personal Assistant supporting Executives in an international fast-paced and complex environment;
  • You master Word, PowerPoint & Excel. Your knowledge of Lotus Notes Database and SAP (Success Factors) is an advantage;
  • Your oral and written communication skills in French and English are excellent;
  • You have excellent planning, organising and execution skills. You have the ability to prioritise an often busy and conflicting workload and manage pressure is essential;
  • You are proactive and have the ability to plan ahead. Being able to anticipate potential problems is crucial;
  • You are committed and autonomous - especially as you will very often be alone in the office working on your own;
  • You have flexible and professional manners. You should be available to respond to urgent correspondence or take calls outside office hours when required;
  • You are committed, proactive/ Self starter and able to work with autonomy and minimal direction, often alone as most of the members of the team travel a great deal;
  • You have the confidence and capability to work with senior executives;
  • You have a quality-driven, detail-oriented approach, consistently aiming for high standards;
  • You have the capability to keep matters confidential;
  • You have strong interpersonal skills;
  • You have problem solving skills & have no issue with complexity:
  • You are very organised and can priotitise;
  • You are able to juggle busy diaries to provide an efficient use of managers' time;
  • You have the ability to multi-task at particularly busy times;
  • You can deal with stress and work under pressure.
