Program Coordinator with English and Spanish

The Program Coordinator prepares all materials and logistical matters.
• Handles the preparation and shipment of all program materials and equipment, and tracks the delivery of the shipment to the program venue.
• Collaborates with Project Managers & Design Faculty to share relevant program information, highlight issues and ensure the quality of program deliverables.
• Aligns with program delivery staff on the deliverables and logistics of the program.
• Acts as point of contact with external printing provider, prepares all files to print, orders the printed material (notebooks, handouts, posters), and schedules and monitors delivery of printed material.
• Prints additional program material.
• Coordinates program logistics on and off-site; makes hotel arrangements, sets up classrooms and break-out rooms, schedules special events, client activities, coaching sessions and final evaluations.
• Assists participants with any logistical, content, or material need related to the program.
• Works with Assessment Operations to ensure all assessments are complete and accurate for programs.
• Carries out post-program processes to ensure quality standards are met and continuous improved.
• Creates and updates program specific guidelines and relevant documents for programs which they coordinate.
• Ensures that the Prep Table, Prep Room, Archive Room, and Delivery room are maintained.
• Updates and maintains the Program Coordination training manual and best practice documentation.
• Completes other tasks as assigned by Manager.



Education, Experience/Work Background:
High school degree or equivalent with advanced administrative assistant, IT support, or other relevant training.  Bachelor degree preferred.

Specific Knowledge, Skills, and Abilities Required:
• Fluent in English, and Spanish. Knowledge of other languages is a plus.
• Working knowledge of computers and MS Office.
• Excellent grammar, vocabulary, and proofreading skills.
• Ability to use professional judgment during decision-making circumstances.
• Takes initiative and seeks information.
• Continuously drives for improvement in the processes and systems.
• Strong communication skills, both by phone, written, and face-to-face.
• Good organizational skills, with the ability to work independently.
• Ability to prioritize and complete requests from various program-related staff members with minimal supervision.

• Strong skills in dealing with discretionary and confidential information.
• Ability to work under pressure.
• Strong detail orientation necessary.
• Ability to interact and function effectively in team environment.
• Physical Demands – must be able to lift boxes up to 20 kg.
• Previous multicultural working experience is a plus.
• Travel is required.
