As a Resource Planner, you will be a key contributor in scheduling the right talent for our leadership programs and workshops. You will build relationships with our associates and clients in the Middle East and across Europe on a daily basis. You are skilled at performing administrative tasks and are a master at prioritizing your workload. Above all, you understand that the right people make our company tick. We are looking for an experienced individual who is comfortable in handling multiple tasks with excellent communication skills in English and Arabic.

Tasks : 

1. Scheduling: - Schedule Coaches and Faculty for all type of program interventions: gather all necessary information from key stakeholders to ensure scheduling of the right associates on time, which includes proper follow-up from beginning to end and the Talent Team’s insights. - Respond to Resource Checks. - Keep the EMEA Associates Management common inbox clean at all times. - Issue Independent Contractor Engagement Agreement (ICEA) for programs, follow-on coaching, design, webinar, client meetings and business development assignments. - Ensure the Global Fee Schedule and Global Cancellation Fee Policy (including the EMEA exceptions) are properly applied in each ICEA.

2. Talent Review: - Participate in the Associates Talent Review process using data tracked during the fiscal year, follow up and monitor end of program evaluations and Coaches and Faculty evaluations (maintaining own accounts’ evaluations), provide accurate reports as requested. - Keep tracking sheets/tools clean, accurate and operational at all times. - Send Coaches and Faculty their evaluations for all the programs. - Inform the Talent Team immediately about any issues.

3. Administration: - Keep all systems/databases clean and operational at all times, i.e. Faculty Adjunct Database (FAD), Web Resources Tool (WRT), scheduling database, tracking sheets and Public Folders. - Record time weekly in our time tracking application (Replicon). - Update Associate Capability sheet with personal workload daily. - Ensure maintenance, update and publication on Leadernet of all Associates’ biographies (internal Stakeholders and external Associates). - Maintain reporting and business metrics (KPI sheets and other reports). - Attend local and global meetings related to Talent Management. - Prepare/Issue and follow-up on the Associates’ Fiscal Year contracts. - Monitor the tape review process effectively. - Ensure proper registration of new Associates within the systems.


Education: - Degree in administration or related job experience.

Experience/Work Background: - Excellent verbal and written English communication, proficiency in the Arabic language, other European languages is an asset. - At least 2-4 years of working experience with clients/vendors/companies based in the Middle East.

Specific Knowledge, Skills and Abilities Required: - Strong focus on structure, attention to detail, documentation, data interpretation and follow-through. - High sense of priority management. - Confidence, assertiveness, autonomy (ability to work in a timely fashion, under pressure and under constant change). - Initiative, persistence, creative problem solving, open to process change. - Experience with tasks that require responsibility, flexibility and confidentiality. - Excellent interpersonal skills (ability to work/communicate/build relationships with internal/external stakeholders to meet client and program demands) and team player (back-up, sharing responsibility). - Excellent working knowledge of computer systems and Microsoft Office software applications, including Outlook, Word, Excel, and PowerPoint. - Experience working with databases is an asset. - Travel required: approx.1-2 times a year for a period of one week to the Middle East
