Description

Provide general administrative support and secretarial service to a team of 60 international persons
Prepare and book travel arrangements for a highly travelling population (visa application, travel schedules, hotel booking, car rental, etc.)
Handle all incoming phone calls and provide a maximum service over the phone
Welcome visitors, and assist them with their possible travel needs
Control the office supply, and place necessary orders
Liaise with providers (for office supplies, furniture, trainings, courses ...)
Update contact lists, and manage internal databases
Prepare Powerpoint presentation for meetings with customers
Help preparing external meetings (hotel booking, conference arrangement, badges, ...)
Provide in particular administrative support to the HR department (clocking system, absences/presences reports, distribution of lunch vouchers and salary slips, personnel files)...

Requirements

Fluent in English, and French
Good knowledge of Word, Excel and PowerPoint
Willing to learn new IT tools
Team oriented, well organised, open minded and flexible

You will sit at reception and will work with the personal assistant of a senior manager, this is a great opportunity to get on-the-field training and discover an international corporate environment. You will assure a temporary mission to start with a part time mid September with possibility of extention.
